Understanding the Importance of Conditions in ExSign Rules for Signature Stamping

Overview
In ExSign, rules are used to control when and how email signatures are applied to messages. One of the most critical aspects of rule configuration is the Conditions section.
For a signature to be successfully stamped on an email, all configured conditions within a rule must be satisfied. If even one condition is not met, the signature will not be applied.

Why Conditions Matter?
When multiple conditions are configured in a rule, they work together using a logical AND relationship. This means:
  • Every condition must evaluate to true.
  • If any single condition fails, the rule will not execute.
  • As a result, the email signature will not be stamped.
This is the most common reason why signatures may not appear as expected.

How Conditions Work in ExSign?
The Conditions tab defines when a rule should be applied. These conditions are based on different email attributes such as:
1. Fields
Fields represent the part of the email being evaluated. These include:
  • Message header fields (e.g., To, From
  • Message properties (e.g., Subject, Body
  • Other attributes: 
    • Message Type 
    • Message Direction (inbound/outbound) 
    • Message Timing 
2. Operators
Operators define how the selected field is evaluated. Common operators include:
  • Is equal to 
  • Contains 
  • Not equal to 
These operators determine how the system compares the field value.

3. Values
Values are the specific criteria that must be matched.
Example:
  • Field: From 
  • Operator: Is equal to 
  • Value: john@example.com 
In this case, the signature will only be applied if the sender's email exactly matches the specified value.

Common Issue: Signature Not Stamping
If your signature is not being applied, it is likely due to one or more conditions not being met.

Example Scenario

 

A rule may include conditions like:
  • Sender must belong to a specific email address or a Distribution List (DL) defined in the rule.
  • Subject must contain certain text.
  • If the Timing field is selected, the message must correspond to the value defined in the rule.
Note: If any one of these conditions fails, the signature will not be applied.
