A vCard (Virtual Business Card) is a digital version of your contact information that can be easily shared through your email signature in ExSign. By adding a vCard with a QR code, your recipients can quickly access your details by scanning the code from your signature.

This guide explains step-by-step how to create and manage vCards in ExSign.

Steps to Create a vCard in ExSign
  1. Login to ExSign Portal
    • Open the ExSign portal and log in with your credentials.
  2. Navigate to vCard Section
    • From the dashboard, go to the vCard option.
  3. Create a vCard
    • Add your information and save it as a vCard.

  1. Choose a Template
    • After creating the vCard, select from available templates.
  2. Preview the vCard
    • Enter your email address to preview how the vCard will look to recipients.

  1. Embed the QR Code
    • Ensure a QR code is included in your email signature.
    • The recipient will be able to scan the QR code in the signature and view your vCard.

How Recipients See the vCard
  • When someone receives your email, they can scan the QR code in your signature.

  • Scanning will display the vCard details you created, including your name, designation, company, and contact information.

Important Notes About QR Codes in ExSign
  1. Types of QR Codes
    • Internal QR Code
      • Used for vCards.
      • Scanning redirects the recipient to the ExSign portal and shows the vCard designed by the admin.
    • External QR Code
      • Points to any external URL (e.g., wa.me/phone, websites, or services).
      • Already supported in ExSign.
  2. QR Code Limit
    • Only one QR code (internal or external) is allowed per email signature.

  3. vCard Usage Limitation
➡️ Only one vCard can be created per organization in ExSign.
Each organization can have its own unique vCard that represents its contact information. If you need vCards for multiple organizations, you must create them individually under their respective organization accounts.

  4. vCard Behavior
    • If a QR code is switched from internal to external, its associated vCard will no longer be displayed in the ExSign portal. However, the QR code will remain functional for recipients and will still appear in previously sent emails.

    • If a vCard is deleted, it will no longer display in previously sent emails when the QR code is scanned.

✅ By following the above steps, you can easily create, manage, and share your vCard through ExSign email signatures for a professional and seamless communication experience.
